The Customer Service Assistant is responsible for receiving and addressing public inquiry by phone, email and in person regarding services provided by the Municipality of Port Hope; and providing related administrative and clerical support to the public and the respective departments. 

Finance Department Specific Items: Processing revenues received through the Finance Department via in person, mail, online banking, electronic funds transfer and processing miscellaneous invoices. 

Compensation:
35 hours per week; 51,039 - 59,708 per annum

Qualifications:
  • High school Diploma plus additional program related courses in business, office administration or related field. 
  • Two (2) to three (3) years of experience in reception, customer service and/or administrative support. 
  • Finance Department Specific Knowledge: Experience in accounting, finance or a related field would be considered an asset. 
  • Interpersonal and customer service skills.
  • Computer skills including Email, Word, Excel.
  • Verbal communication skills including courtesy, tact and explanation.
  • Written communication skills including grammar/spelling skills; proofreading skills. 
  • Organizational and time management skills.
  • Flexible and adaptable, open to and accepting of change.
  • Detail oriented. 
Responsibilities:
  • Finance Department Specific Responsibilities: Process incoming electronic payments and other facility deposits. Process monthly general accounts receivable invoices. 
  • Demonstrate high customer service standards, address inquiries (face-to-face, via phone or email) regarding services provided by the Municipality of Port Hope and direct the public and residents (“customers”) to the appropriate contact as required.  
  • Receive incoming phone calls, fax or email from customers; record public complaints and or requests for service; relay communications on behalf of staff; forward information to the appropriate contact; and provide statistical reporting of service requests/issues, noting action taken.   
  • Assist the customers with various service requests, including but not limited to the completion of the information on documents, receiving payment of fees and managing related records and statistics. 
  • Ensure all payment transactions are recorded in the financial system, and subsequently count and balance the financial deposit at the end of the day, prepare supporting documentation and secure the deposit until it is transferred to the Finance Department. 
  • Contribute to the ongoing development of staff and customer reference documents as they pertain to customer service and other aspects of their role, which may include website and social media updates. 
  • Collect, sort, date stamp and distribute mail to departments; prepare and send courier packages, receive and distribute deliveries. 
  • Perform a variety of administrative and clerical support tasks such as filing, photocopying; scanning, faxing; scheduling of meetings/rooms; typing labels, letters, envelopes; drafting, transcribing, formatting and distributing correspondence, minutes, reports; record, track and tabulate statistics, ordering supplies and products for the department.  
  • Record/input data into various databases, gather information from the databases, create reports and distribute to various departments. 
  • Research information, compile or print written summary of findings with recommendation where applicable for departments.  
  • Assist with room set up for meetings and events and return room to normal arrangement after meetings/events.   
  • Perform general housekeeping tasks to maintain the Reception area in an organized and customer focused manner including making available municipal resource information.  
  • As required, be assigned with short notice to another department, for short or longer term, to cover for absences or work assignments requiring additional staff. 
  • Adhere to high standards of ethical behaviour and demonstrate their understanding that their personal actions impact the public’s perception of the Municipality; and 
  • Perform other duties as assigned by the Director or designate.
