Coordinator, Events and Community Engagement - Closing March 11, 2026
The Coordinator, Events and Community Engagement shall assist the Supervisor, Events & Community Engagement with the planning, development, implementation and promotion of all Recreation and Culture special events affiliated with the Municipality and the Department of Parks, Recreation and Culture.
The Coordinator will oversee events based on community interest, trends and budget requirements; provide administration and supervision of events, including safe delivery for participants and volunteers, ensure compliance with all applicable legislation and organizing bodies including High Five.
Compensation
35 hours per week; $58,603 - $68,557 per annum.

- Completion of a Community College Diploma in Recreation, Community Development, Event Management, Public Relations or equivalent.
- Two (2) to three (3) years on the job training and/or previous work experience in the area of specialization (ie. Event Management, recreation, customer service)
- One (1) or two (2) years related experience in a municipal environment.
- Standard first aid and CPR
- Willing to obtain High Five Principles of Healthy Child Development or
- High Five Principles of Healthy Aging
- In collaboration with Supervisor and event organizers, develop indoor and outdoor events (short and long term) for the Municipality of Port Hope including Municipal-led community and corporate events, and marketing plans, to ensure alignment with standards for safety, accessibility, equity, sustainability, fiscal responsibility, and public/attendee experience.
- Assist in continually monitoring and adapting events based on research and trends, to support inclusive, innovative and equitable programming for all in alignment with the Special Events Management Policy; foster partnerships to support the development of programming to meet community needs.
- Support the Special Events Review Committee and contribute to the development of tools, guidance, and supports that help community organizations navigate municipal processes, including maintaining the A-Z Guide.
- Support the Civic Award Committee in administrative functions related to Civic Award program promotion, nomination intake and ceremony planning.
- Assist with the development and execution of event applications, emergency plans, site plans, production schedules, and other logistical planning tools. Work directly and collaboratively with community organizations, event organizers, municipal staff, sponsors, businesses and service providers; conducting and scheduling meetings, site visits, email, and phone correspondence.
- Assist with the recruitment, leading, managing and mentoring of students and volunteers; including assistance with hiring, coaching, performance management, scheduling, and training. Oversee part-time staff, volunteers and contracted service providers during event, problem solving as required.
- Coordinate event marketing, sponsorship, and partnership initiatives identified through departmental planning, including proposals to potential sponsors, promotional plans and social media campaigns to foster consistent, sustainable, and collaborative relationships that contribute positively to local culture, tourism, and economic development.
- While working, ensure customer service support, risk management to ensure publics safe use of facilities and parks during event; be the primary contact outside of regular operating hours for event organizers; respond to incidents and/or assist with response; coordinate facility/park closures as required in consultation with the Supervisor; document and follow up with customer service or patron incidents; liaise with user groups/patrons as needed.
- Assist with administrative support including ensuring budgets are maintained, make recommendations for future budget years, ordering and tracking of supplies required for programming and/or grants, coordinating dates, times and logistics of special events and/or workshops, development of service agreements, reports, KPIs, minutes, communicating with departmental staff as required to support programs, collaborate in the development of promotional materials.
- Support sustainable funding approaches for events, including grant writing, and continuous improvement of strategic funding program, in alignment with Council-approved plans and departmental priorities under direction of the Supervisor.
- Apply equity and inclusion lens to community development practices to ensure municipal support is accessible and responsive, recognizing the varied viewpoints of stakeholders.
- Adhere to high standards of ethical and professional behaviour, demonstrate understanding that personal actions impact the public’s perception of the Municipality and importance of interacting in a positive courteous manner in all communications.
- Perform other duties as assigned by the Supervisor, Events and Community Engagement or designate.
- Strong interpersonal and public relations skills and the ability to cultivate relationships with and communicate effectively with all community contact, volunteers, contracted service providers and other stakeholders.
- Proficient computer skills including Email, Word, Excel, and Adobe.
- Verbal communication skills including courtesy, tact, and explanation. Written communication skills including grammar/spelling skills.

- Will require some heavy lifting/dragging.
